Moderated Scheduling a Zoom Meeting Using Outlook Plug-In
Rick Miller
All:
About four months ago Freedom Scientific did a webinar about scheduling a Zoom meeting using the Outlook plug-in. When the scheduling was demonstrated it was done from an e-mail message. What if you want to schedule a new Zoom meeting? I tried to do this last night. I got into Outlook, opened up the Outlook calendar, and when I discovered I was on the Home tab I tabbed twice. I heard JAWS say New Meeting Split. There was no option to schedule a new Zoom meeting. When something appears to be "split," is there a way you can schedule a Zoom meeting? When I hit the Enter key I was faced with the option of scheduling just an ordinary meeting, but I couldn't find an option to schedule a Zoom meeting, so I must be doing something wrong or else something is completely unknown to me. I would appreciate any help that one of you can give.

Hi Rick,
I almost always schedule my meetings from Outlook because it automatically goes in my Outlook calendar which for me, is critical.
The first time I did this, though, I had the same feeling of panic because it doesn’t show up in upcoming meetings in the Zoom app. Here are the two ways I tend to access the link so I can start the meeting as host:
A couple of things to be aware of – these may just be specific to my laptop but I’ll mention them just in case.
I really hope this is helpful.

To schedule a Zoom meeting when you are in a new calendar invite – press alt+H then Y and the schedule Zoom meeting dialog box will pop up. To add people that you wish to send the meeting invitation, it is Alt+H then I.
I use this feature quite often.

After I hit the Alt+H key combination I arrow down once and hear New E-Mail Split. When I arrow to the right, as you said to do, instead of hearing the Zoom Option I hear JAWS say Move. When I arrow to the right again I hear it say Archive. There is no option at all to join the Zoom meeting. Am I doing something wrong?

Dear Elizabeth:
I made an error in a message I sent earlier. When I described what I said I was doing I said it was to join a meeting. I should have said to schedule one. It is scheduling I am talking about now. When I am in my inbox and want to schedule a Zoom meeting I hit the Alt key, just as you suggested. I then arrow down once and hear New E-Mail Split. When I arrow to the right, as you said to do, instead of hearing the option to schedule a new meeting I hear JAWS say Move. When I arrow to the right again I hear it say Archive. There is no option at all to schedule a meeting. Am I doing something wrong? I hope I have better clarified what has been happening.

Hi Rick, That is for when you are scheduling the meeting. To start or join, you can either go to Zoom to see if the meeting shows up from there, or go to your Outlook Calendar, locate the event, and tab to location, where you should see the Zoom link created by the Zoom plug in. If there is not a link, perhaps something did not work correctly with the plug in. If you find the link, copy it to your clipboard, then paste it in your web browser of choice. You should then get a Zoom dialog to either open or cancel. Select open, and you should be in the meeting. This works if you are starting it as well. Do you know if any of your invittees got the invite, and if so, does their invite include a Zoom link? This will give you an ideaof whether the plug in worked.
Thanks,

If you want to schedule a meeting using outlook, make sure you have
the outlook plugin installed, and then start with the calendar (control-2) if I remember correctly. You then should be able to schedule a meeting with zoom from there. As well, if I hit alt by itself and if it says home, and then down
arrow, it says new email and using right arrow, it says new items submenu and you can schedule your meeting from there. Do you have an older outlook or not have the plug in installed? So sorry if I have injected confusion - I confused your two messages about hosting and scheduling. I have also had trouble scheduling a zoom meeting directly from Outlook. I use the schedule meeting tab in the zoom app which then gives me the option to schedule from Outlook. -----Original Message-----

Rick:
Did you ever see my message how to use the calendar to create the Zoom meeting. I saw the message go through after it was sitting in the moderated queue. You have to start a new calendar entry (control+N) while in calendar view then press alt+H+Y to start to schedule a new Zoom meeting. The steps you are viewing, you are still in Mail view and not in Calendar view in order to schedule a Zoom meeting. Go into calendar view (Control+2).
