Moderated Saving Text From A PowerPoint Presentation

Tom,

It is possible that the person did not enter text in the typical txt boxes on the slide and that is why the save as function is not working.   Sighted people like to layer text on graphics,  It’s been a while since I’ve done what you are trying to do, but I do recall being challenged when trying to convert class presentations from professors into RTF.  Curtis had a good point to hit F5 and see what JAWS will read in the slideshow view.  This allows you to see what is accessible on screen without having to tab around the various elements.  You can also do a Print to PDF by using Control P and finding Microsoft Print to PDF in the list of available printers. This would preserve the slides, as you’d have one slide per page by default.

Press f6 to get to the summry pane.  Then use save-as to save it as an RTF file.

Use the f6 key until you hear slide thumb nail and then ctrl shift tab to notes, ctrl a to select all and ctrl to copy. Then, open a Word document and paste. That way you have only the text from all of the slides.

 

Any help would be appreciated.

Have you check to see that animation is turned off in the Powerpoint slides and that there are no bulleted items. I have heard that if the creator of the Powerpoint presentation has animation turned on and if it is using bulleted items in the slides it will cause some of the problems with saving it in another format.

Tom,

Depending  on your version of PowerPoint, it should be on the slide show ribbon. It used to be a checkbox on the main ribbon, I think, but my current version of Office 365 now has it under a Setup Slideshow button.  Once I click that, a dialog opens up and a list of checkboxes appears, including one about animations.  If you turn them off, it loads all the animations as soon as you move to that slide, rather than having each press of the spacebar display each new element such as each bullet point.   Your friend may not have used animations, but this can help be sure you are seeing everything at once.

I have Microsoft Office 365 here, but can’t find the set up slide show button.

 

Once I find that button, then do I just tab to uncheck animations?

 

I find the ribbon structure to be very confusing.

It is possible that the person did not enter text in the typical txt boxes on the slide and that is why the save as function is not working.   Sighted people like to layer text on graphics,  It’s been a while since I’ve done what you are trying to do, but I do recall being challenged when trying to convert class presentations from professors into RTF.  Curtis had a good point to hit F5 and see what JAWS will read in the slideshow view.  This allows you to see what is accessible on screen without having to tab around the various elements.  You can also do a Print to PDF by using Control P and finding Microsoft Print to PDF in the list of available printers. This would preserve the slides, as you’d have one slide per page by default.

Once I find that button, then do I just tab to uncheck animations?

Tom,

Depending  on your version of PowerPoint, it should be on the slide show ribbon. It used to be a checkbox on the main ribbon, I think, but my current version of Office 365 now has it under a Setup Slideshow button.  Once I click that, a dialog opens up and a list of checkboxes appears, including one about animations.  If you turn them off, it loads all the animations as soon as you move to that slide, rather than having each press of the spacebar display each new element such as each bullet point.   Your friend may not have used animations, but this can help be sure you are seeing everything at once.

Have you check to see that animation is turned off in the Powerpoint slides and that there are no bulleted items. I have heard that if the creator of the Powerpoint presentation has animation turned on and if it is using bulleted items in the slides it will cause some of the problems with saving it in another format.

Depending on your proficiency with reading PDFs, I would not think you’d have to convert it to text to review  I would open the pdf version in Adobe and arrow down to read the text JAWS can detect.  What can be challenging is if your friend put various text boxes with text in different places.  JAWS may not know the order to read them in, so you may need to try a couple of the different options on the Adobe Accessibility menu. I would start with the option to “Infer reading order”.  You’ll have to do something like to maintain any reference to which slide you are on.

I’m now to the point where I’m going to ask the person who sent the powerpoint to try sending me the RTF with the relevant text.

 

Either I’m doing something wrong here, or the Powerpoint itself is not accessible.

Press Alt, then arrow right to the slideshow ribbon, then press tab repeatedly until you hear Set up Slide show. Press enter on that and it will open a dialog with the various options.

I have Microsoft Office 365 here, but can’t find the set up slide show button.

 

Once I find that button, then do I just tab to uncheck animations?

 

I find the ribbon structure to be very confusing.

Tom,

Depending  on your version of PowerPoint, it should be on the slide show ribbon. It used to be a checkbox on the main ribbon, I think, but my current version of Office 365 now has it under a Setup Slideshow button.  Once I click that, a dialog opens up and a list of checkboxes appears, including one about animations.  If you turn them off, it loads all the animations as soon as you move to that slide, rather than having each press of the spacebar display each new element such as each bullet point.   Your friend may not have used animations, but this can help be sure you are seeing everything at once.

Have you check to see that animation is turned off in the Powerpoint slides and that there are no bulleted items. I have heard that if the creator of the Powerpoint presentation has animation turned on and if it is using bulleted items in the slides it will cause some of the problems with saving it in another format.

Tom,

It is possible that the person did not enter text in the typical txt boxes on the slide and that is why the save as function is not working.   Sighted people like to layer text on graphics,  It’s been a while since I’ve done what you are trying to do, but I do recall being challenged when trying to convert class presentations from professors into RTF.  Curtis had a good point to hit F5 and see what JAWS will read in the slideshow view.  This allows you to see what is accessible on screen without having to tab around the various elements.  You can also do a Print to PDF by using Control P and finding Microsoft Print to PDF in the list of available printers. This would preserve the slides, as you’d have one slide per page by default.

I have just been sent a powerpoint presentation about which someone wants my feedback.

 

I know there are graphics in the presentation, so I’m trying to save the text from the power point slides so I can at least provide feedback on that.

 

However, I’m having trouble saving the text in an RTF file format.

 

Whenever I save the file as an RTF, I think I only get the first slide, and I think there are 16 slides in total.

 

Here are the instructions I’ve tried so far:

 

Press f6 to get to the summry pane.  Then use save-as to save it as an RTF file.

 

Or:

 

Use the f6 key until you hear slide thumb nail and then ctrl shift tab to notes, ctrl a to select all and ctrl to copy. Then, open a Word document and paste. That way you have only the text from all of the slides.

 

Any help would be appreciated.

I find it easier to use the slide show mode and to let JAWS show the PowerPoint on screen one slide at a time. Is this a PowerPoint you created or one which you are simply using as source for what you are doing?
