Moderated Can’t retrieve mail on my laptop and I don’t know how to diagnose the problem. Can somebody help?

Kimber Gardner

Hello,

Suddenly this afternoon I am unable to retrieve my Gmail on my laptop running Outlook and Windows 10. I can send and receive mail on the iPhone with that affected account and also through the Gmail web interface. But when I try to download mail in Outlook I get a prompt for a password and even though I typed in the correct password it doesn’t except it. I’m not sure how to begin diagnosing this problem. Can somebody help?

Thanks

This is due to a change that Google implemented for security on GMAIL accounts.
Below is the text of a message that I received from Google.

On May 30, you may lose access to apps that are using less secure sign-in technology

To help keep your account secure, Google will no longer support the use of third-party apps or devices which ask you to sign in to your Google Account using only your username and password. Instead, you’ll need to sign in using Sign in with Google or other more secure technologies, like OAuth 2.0. Learn more

What do you need to do?
Email software, like Outlook 2016 or earlier, has less secure access to your Gmail. Switch to Office 365, Outlook 2019 or newer, or any other email software where you can sign in using Sign in with Google.

No.  At least not if you originally set up your access using only username and password (which would have had to have been a while back).

If you are accessing your email via IMAP, and in all probability you are, the easiest thing to do is to nuke the account in Outlook 2019 and then promptly create it again.  As part of this you will be walked through the OAUTH step of verification, too, and things will go back to normal.

The problem is not with Outlook 2019, per se, which is entirely capable of using Google's OAUTH access method.  The problem would appear to be that whenever that account was initially set up someone had the "less secure apps" setting turned on in the Google account and used only good, old-fashioned userid and password as the login criteria.

The days of userid and password alone as login criteria for email clients and other software that routinely "hits" your account is rapidly disappearing, and not just for Google.  Things like GO Contact Sync Mod which allows the synchronization of Google Contacts and Calendar to Outlook Contacts and Calendar also now needs to gain access using the OAUTH protocol, and does if you try to set it up "from scratch" these days.

Ugh! I was afraid nuking the account and having to set it up again would be the prescribed resolution. Thanks for explaining.

Hi, Kimber. Yes, but you will still need to use a security key instead of a password.

That just happened to me, and Microsoft's disability office was able to remote in and fix it. It was something they were aware of, a recent change by Google that requires some tweaking. I have Outlook 2013, and it hit me 2 days ago. Microsoft said that it was only involving Outlook connections, and would hit all in that group eventually. The fix involved the technician going into the control panel mail, and doing things I had never heard of before, so I cannot provide any steps, just to call Microsoft at 800-936-5900.

It would be handy for the next person who contacts Microsoft and where they do the fix to ask them what they did.  And I don't mean step-by-step.

I suspect the answer will end up being related to generating an application specific password (which really is, as Bill White has pointed out, more accurately described as a security key, but that's not what Google chose to call it) or to them tricking Outlook into running through the OAUTH part of modern verification.  But no matter what it is, it would be nice for the readership to have a broad description about what was necessary for the fix.

Your account, username@..., is missing recovery info. If you’re locked out of your account, recovery info helps you get back in. Add recovery info.

Turn on 2-Step Verification

With 2-Step Verification (also known as two-factor authentication), you add an extra layer of security to your account in case your password is stolen. After you set up 2-Step Verification, you’ll sign in to your account in two steps using:

  • Something you know, like your password
  • Something you have, like your phone

Activate 2-Step Verification

  1. Open your Google Account.
  2. In the navigation panel, select Security.
  3. Under “Signing in to Google,” select 2-Step Verification  Get started.
  4. Follow the on-screen steps.

Your account, username@..., is associated with your work or school. If you can’t set up 2-Step Verification, contact your administrator.

Verify it’s you with a second step

After you turn on 2-Step Verification, you’ll need to complete a second step to verify it’s you when you sign in. To help protect your account, Google will request that you complete a specific second step.

Computer AndroidiPhone & iPad

Use Google prompts

We recommend you sign in with Google prompts. It's easier to tap a prompt than enter a verification code. Prompts can also help protect against SIM swap and other phone number-based hacks.

Google prompts are push notifications you’ll receive on:

  • Android phones that are signed in to your Google Account
  • iPhones with the Smart Lock app , the Gmail app , or Google app  signed in to your Google Account

Based on the device and location info in the notification, you can:

  • Allow the sign in if you requested it by tapping Yes
  • Block the sign-in if you didn’t request it by tapping No

For added security, Google may ask you for your PIN or other confirmation.

Use other verification methods

You can set up other verification methods in case you:

  • Want increased protection against phishing
  • Can’t get Google prompts
  • Lose your phone

Use security keys to increase phishing protection

Use Google Authenticator or other verification code apps

Use a verification code from a text message or call

Use backup codes

Skip a second step on trusted devices

If you don't want to provide a second verification step each time you sign in on your computer or phone, check the box next to "Don't ask again on this computer.

Important: Only check this box on devices you regularly use and don't share with anyone else.

I am surprise if they are able to fix it since you are running Outlook 2013. Hopefully someone can find out and share it here. It may help a lot of people who do not have the means to get Office 365 or newer versions.

Assuming they are using the app-specific password thing, it would require them to access the said Gmail account to turn on 2FA if the owner hasn’t done so. Hopefully someone can shed light on this.

Yes, I recall the Microsoft guy using that phrase, an application key, or words to that effect.

I am surprise if they are able to fix it since you are running Outlook 2013.

Outlook 2013 is able to use modern authentication methods if a couple registry keys are set.  If not, you can still use an application specific password.

You have to access your Gmail account on the web and go into the security settings.

Assuming they are using the app-specific password thing, it would require them to access the said Gmail account to turn on 2FA if the owner hasn’t done so. Hopefully someone can shed light on this.
